Introducing: Custom Modules in FMX

Here at FMX, we believe that our “out of the box” modules are pretty awesome and our customers agree. But we also realize that our standard modules might not be everyone’s cup of tea. So, we’re excited to introduce the FMX Custom Module!

Check out the video below to learn how you can benefit from adding a “build your own” module to your FMX site.

What is a Custom Module?

Under the hood, a Custom Module starts with the same framework and workflow as our standard Maintenance Request Module. The difference is, your new Custom Module can be tailored to match your unique needs and workflows that don’t fit into the mold of our standard modules.

Have it your way

With help from your FMX Customer Success Manager, your Custom Module can be equipped with:

  • A unique module name and icon (e.g., Human Resources Requests, Custodial Requests, Time Off Requests, etc.)
  • Customized forms, fields, and request types
  • Customized user permissions, approval processes, and email notifications
  • Color coding on the calendar page to easily identify your Custom Module requests

Custom Module success story: Broadmoor Baptist Church

FMX customer Bill Watters, Director of Operations from Broadmoor Baptist Church in Mississippi, loved FMX at first sight. But, the standard FMX modules didn’t quite match all of his organization’s workflows and the vocabulary they had grown accustomed to using.

The FMX Customer Success Team consulted with Bill to understand his unique needs and created these tailored Custom Modules for his FMX site which you can see in the video above:

  • Access Control Requests: Issuing new key cards for building access
  • Clean It Requests: Managing custodial needs
  • Fix It Requests: Managing maintenance needs

March 2016 FMX Update

We’re happy to introduce several new updates we added to enhance FMX last month! Pressed for time? Here’s the tl;dr (too long; didn’t read) summary:

  • Schedule requests can now be routed to a previous status.
  • You can now track an hourly labor rate per user.
  • Labor cost data can now be viewed in the work request and planned maintenance grids.
  • We’ve added a user log view so you can see what your users have been up to in FMX.
  • Users can now specify the time of day they want to receive planned maintenance reminder emails.

We’re super close to rolling out a major enhancement to the reporting and analytics capabilities of FMX. These enhancements will allow you to create customized interactive dashboards consisting of data across your FMX site. Here’s a sneak peek and more information will be coming soon!

Schedule request enhancements

Have you ever accidentally approved a schedule request instead of declining it? Have you ever had an event that needed to be re-invoiced due to a change in costs? Well, now you can re-route a schedule request to a prior status as long as you have the proper user type permissions. Here’s how it works:

Make sure the appropriate user type has permission to route schedule requests under the Schedule Request Access section in the user type editor.

Find the schedule request that needs to be re-routed and click the Route button.

Select the prior status the request should be routed to and click the Save button. That’s it!

User enhancements

Tracking labor rates:

You can now track an hourly labor rate per user and view work request and planned maintenance labor cost information. Here’s how it works:

Navigate to the user type editor for the user type you want to track a labor rate for and check the Has labor rate box near the top of the page.

Then, navigate to the user type editor for the user type that should have permission to enter user labor rates and view labor rate information. Check the Can set labor rate box near the bottom of the page in the User Access section. Select the appropriate option for the View labor rate permission — selecting the Any option will allow this user type to view labor costs logged in work requests and planned maintenance tasks.

In the example below, I can enter a labor rate for Mitch Galehouse by clicking on the Users tab in the left sidebar, clicking on the gavel icon across from Mitch’s name in the user list, entering his labor rate and clicking the Save button. Now, whenever Mitch resolves a work request or executes a planned maintenance task and enters his worker hours his labor cost will be calculated automatically.

Here’s an example of a planned maintenance task executed by Mitch Galehouse. In the planned maintenance occurrences grid we can see how many worker hours he logged and his labor cost that was automatically calculated. Labor cost data can also be viewed in the work request grids (i.e., labor costs logged for completed maintenance requests).

User log view:

We’ve added a user log view so you can see what your users have been up to in FMX.

Let’s say that I wanted to see everything Morgan Murray has been doing in my FMX site. I can access that information by clicking on the Users tab in the left sidebar, and clicking on the book icon across from Morgan’s name in the user list. Then I’ll be able to see a log of requests she’s submitted, responded to, resolved, and more.

PM email notification enhancements

Tired of receiving planned maintenance reminder emails at midnight? Users can now specify the time of day they want to receive PM reminder emails by following the steps below.

Click on the Settings button under the user’s name in the left sidebar.

Scroll down to the Preferred notification time drop-down list and select the desired time of day for the user to receive PM reminder emails.

Our team is leaping with joy because we had an extra day in February to work on improving FMX. Get it, leap year? Anyway, we’re happy to introduce several new updates we’ve added to enhance FMX this month!

Work request enhancements

Have you ever resolved a work request only to realize that you forgot to include critical information in your resolution details? Good news, we’ve made it possible to edit the resolution details for completed work requests.

Additionally, you can now create custom fields to capture specific information when someone responds to a work request.

Planned maintenance enhancements

Do you have a maintenance task that will only occur once but has a checklist of steps that need to be completed to execute the task? Why not create a non-repeating planned maintenance task?

Individual worker hours can now be logged when responding to or executing a planned maintenance task. Woo hoo!

We’ve also added some flexibility to help you determine which users should receive planned maintenance email notifications for confirmed, upcoming, and overdue PM tasks.

Custom field enhancements

We’ve added a new option for ordering your custom fields on a page by name but in a non-alphabetical order.

Report subscription enhancements

Users who are subscribed to receive recurring reports via email can now select the time of day they want to receive the report email instead of the default time which is midnight. Here’s how it works:

Step 1: Click on the “Settings” button under the user’s name in the left sidebar.

Step 2: Scroll down to the “Preferred notification time” drop down list and select the desired time of day for the user to receive recurring report emails.

Schedule request enhancements

Do you have an event that needs to be canceled in FMX? Well, now you can reschedule that event during the cancellation process.

Canceled events exported from your FMX calendar to another calendar (Google Calendar, Microsoft Outlook, Apple Calendar, etc.) will now display a canceled status.

You can now filter your schedule requests by operating hours to see which events are occurring during or after your designated operating hours.

Work request enhancements

We’ve learned that sometimes worker hours need to be logged throughout the lifespan of a work request and not just when the request is resolved. So, we’ve made it possible to log worker hours in conjunction with a request response.

You can now add custom fields to the request assignment process to give instructions to the assigned worker or capture other important information.

Inventory enhancements

One big challenge with inventory management is keeping all of your inventory items organized. Now, you can create inventory types in FMX to categorize your inventory.

You can also customize the columns that are displayed in your inventory grid to see only the information that is important to you.

Planned maintenance enhancements

We’ve added some flexibility for selecting due dates for planned maintenance tasks. Now, the next due date for your task can be fixed based on the initial due date, or it can vary based on the last execution date of the task.

Configurable work request modules

We think the FMX work request modules (maintenance, technology, and planning requests) are pretty awesome. But, we’ve learned that they aren’t quite flexible enough for everyone. So, instead of trying to fit a square peg into a round hole, we’ve made it possible to add new configurable work request modules to your FMX site with our help. Need a module for key requests? Done! Want a module for warehouse requests? Piece of cake! Here’s Pat, one of our business development executives, with the lowdown:

Email support@gofmx.com to request a new work request module for your FMX site. We’ll create the new module for you and make sure that it’s customized to meet your needs. (Note: Fees may apply)

Canceling schedule requests

You can now cancel a schedule request, rather than deleting it, to let other people know that your event is canceled and free up the resource to be scheduled by someone else. Here’s Josh, one of our business development executives, to introduce this new action for schedule requests:

Associating equipment and inventory items

You know that sinking feeling you get when you’ve worked hard to assemble a new piece of furniture and discover that you have miscellaneous, leftover spare parts and no idea where they belong? Well, we might not be able to help you reassemble your furniture, but now you can associate your equipment and inventory items in FMX. Mike, one of our account executives, has the scoop on this new enhancement:

We’re happy to share four new enhancements for the work request modules (maintenance, technology, and planning requests) in FMX.

Assigning work requests upon creation

You no longer have to take an extra step to assign a work request to a user after the request is created. If you have the appropriate permissions, you can now assign a work request to another user during the request submission process. Check it out in this video:

Making the location field hidden, optional, or required

We’ve learned that some customers want the location field in the work request form to be optional. So, we’ve given you the flexibility to make that field optional, required, or completely hidden. Watch this video to learn how to do it:
