5 tips for the best trick-or-treating (and facilities management) experience

At FMX, there are few things we take more seriously than trick-or-treating, and one of them is helping you manage your facilities! Believe it or not, the two go hand-in-hand. So, to get everyone in the Halloween spirit, we decided to share our top 5 trick-or-treating tips and how they relate to managing your facilities. Tip #1: Maintain your inventory

Don't go home and eat all your candy at once! I know it's tempting to binge-eat it all, but if you want to have some leftovers come May, you're going to need to ration your candy. The same is true with your facility's inventory.

As you know, it’s important to understand approximately how much inventory you’re going to need for the year, and establish a plan to ensure you never fall short. For some, this may mean stocking up in January and using it throughout the rest of the year. For others, you may order inventory in smaller batches when you get close to running out.

No matter how you do it, tracking inventory is extremely important when it comes to managing your facilities. The last thing you want is to run out of a critical spare part when an asset is failing. So, be sure to know how much inventory you have, how much you’ll need, and when you need to reorder more. A CMMS, like FMX, can help by sending you an alert when your inventory gets below a certain quantity and reminding you to restock.

 

Tip #2: Communicate with your team

Do you know which house you are stopping at first? Do you have a designated start time? Does everyone know his or her role in the group? These are all very important questions when it comes to preparing for trick-or-treat festivities, and also very similar to the questions you should ask yourself when managing your facilities.

In order to maximize your facilities’ efficiency, your entire team needs to be on the same page. This means making sure everyone knows which work orders they are assigned to, when they are supposed to be closed out, and what their specific duties are to make sure the job gets done.

This tip becomes especially true when you are using a CMMS. If your entire team knows how to submit, track, and close out work orders in your CMMS, you can prevent tasks from falling through the cracks. It’s important to properly train everyone on the software and develop a system to ensure everyone is using it. This may include rewards for submitting or closing out a certain number of work orders, or a friendly competition amongst the team to see who can close out the most tasks.

Once the entire team is on board with using the software, your CMMS will house everything related to maintaining your facilities. This data will become extremely helpful down the road when you want to justify capital improvements, increase the size of your team, or decide whether to repair or replace equipment.

 

Tip #3: Take care of your assets

When you go trick-or-treating, YOU are the most important asset. If you can't walk, you definitely can't collect candy. So, make sure you wear shoes that can last all night long! Unfortunately, we don't always do this. We want to have the best costume ever, so we wear the shoes that match our outfit instead of the comfiest (and wisest) of choices. You want to make sure you can last all night, and your facilities should be no different.

Performing preventive maintenance (PM) is a must if you want your assets to last their entire lifetime. In fact, 80% of your maintenance should be preventive, and the other 20% should be reactive. Otherwise, the wear and tear on your equipment will become severe and possibly lead to failure.

With a CMMS, like FMX, you can set up PM tasks to occur weeks, months, or years in advance so that you receive notifications when it’s time to take a look at an asset. This keeps everything on track and ensures that your assets are receiving the proper care they need to keep on keepin’ on.

 

Tip #4: Map out your daily maintenance schedule

Any candy beggar will tell you just how important it is to know which houses pass out the best candy. If you spend your time getting toothbrushes from the dentist down the street you’ll miss out on the huge Reese’s Cups two blocks over. As important as it is to map out your candy route, it’s even more important to map out your daily facilities management (FM) route. This can save you driving time between various locations and help you fit all your work orders into a shorter timeframe.

Before you begin your day, figure out which work orders need to be addressed, where buildings are located, and a list of supplies needed to support the work in each building. Then, map out your schedule accordingly. For instance, you wouldn’t want to start on a work order in Building A, then move to Building B to retrieve the next paper work order, and then travel back to Building A because you forgot a spare part. Planning out your day and listing everything you need to do in each building ahead of time will save you time and help you get more done!

If you use a CMMS, planning your day and managing work orders becomes even easier! Whenever a new work order is submitted, you can get notified on your smartphone or tablet and stay up-to-date on all of your facilities’ requests wherever you go. Tip #5: Don't let work orders slip through the cracks

I don’t know about you, but those cute little pails that kids these days carry around these days for trick-or-treating are way too small for me. Back in my day, we just grabbed a pillowcase and hit the road. Not only did it never break, but it also held a ton of candy. Those little pails just aren’t going to hold the massive amounts of candy I plan to snag this year.

Just like I don’t want my candy falling out of my bag, you don’t want your work orders falling through the cracks. Paper work orders and word of mouth tend to get lost in all the hustle and bustle. Not to mention that once they are closed out, paper work orders may get discarded or filed away and forgotten altogether. If you ever want to reference that work order again or establish a maintenance history for your assets, it’s almost impossible.

Keeping your work orders in a CMMS makes it extremely unlikely that you will ever lose one, and gives you all kinds of other benefits as well. As soon as someone submits a work order, you will receive a notification and be able to assign it to the appropriate member of your team. And those PM tasks? You’ll never forget them again because you can create PM tasks days, weeks, and even months in advance and receive notifications when they’re due. You can even set up instruction sets or checklists for PM tasks so that your team knows what to do every step of the way.
